EU AI Act compliance file

An export ready to share with your DPO, an auditor, or a compliance officer: the measures already in place in FitRadarHR to anticipate the EU AI Act's "high-risk" classification, and your organization's traceability figures for a chosen period.

The "high-risk" classification applies to how your organization uses the tool within its own recruitment process, not to the tool alone. This file supports your compliance analysis, it does not replace it. See EU AI Act and recruitment for the full context.

Generating the file

Access: HR only, Governance → AI Compliance menu.

Steps:

  1. Choose a period (from / to) — the last 12 rolling months are pre-filled, editable
  2. A preview of the key figures shows up instantly
  3. Download the PDF (summary + measures + figures) and/or the CSV (full detail of the audit log for the period)

Why a separate PDF and CSV?

The PDF stays readable — a few pages — and gathers the measures already in place and a summarized figure set. The raw detail of the audit log, potentially thousands of rows depending on your organization's activity, is provided separately, in CSV, to stay usable rather than buried in a several-hundred-page PDF.

What the file contains

PDF:

  • Measures already in place (human oversight, traceability, minimization/consent, scientifically validated instrument)
  • Key figures for the chosen period: active profiles, GDPR consents, completed questionnaires, reports viewed, PDF exports, GDPR erasures, total audit log entries

CSV (attachment):

  • The full detail of every audit log entry for the period: date, action, affected entity, user

Is the audit log really complete?

Yes — the audit log is immutable: no entry can be modified or deleted, whatever period is chosen for the export. The legal retention required by the EU AI Act (at least 6 months, Article 26) is therefore structurally guaranteed, independently of this file.

Every export is itself logged

Generating a compliance file (PDF or CSV) creates its own entry in the audit log — traceability also applies to traceability itself.
